Senior HR Operations Manager

Yetter Coleman LLP is currently seeking a Senior HR Operations Manager.

ROLE
The Senior HR Operations Manager will serve as the HR lead for the Firm, the core of the Talent/HR Department, and will report to the Director of Talent Management & Training. This position will manage all HR operations & processes.

SCHEDULE
Hybrid: Remote on Monday & Friday/In-office Tuesday, Wednesday, and Thursday. Houston, TX 77002

REQUIRED EXPERIENCE
5 – 7+ years of experience in HR operations, preferably in a mid-size/large law firm or a comparable professional services business. Proficiency in HRIS/HCM systems, SQL, and cloud-based HR software is required.

EDUCATION
A bachelor’s degree in a relevant field is preferred but not required. A SPHR or SHRM certification is preferred but not required.

ROLES AND RESPONSIBILITIES

  • As key member of Talent/HR department, serve as a steward of Firm culture, promoting positive people engagement practices
  • Build, implement, and maintain electronic data interchange feeds to all carriers and review errors, if any
  • Oversee Paycom HRIS software and all backend rules, database, workflows, and user experience
  • Manage all HR projects as assigned or recommended
  • Create and submit all HR invoices for carriers and subscriptions
  • Serve as resource to employees with plan questions, including HSA/401k/Health
  • Work with Controller to process semi-monthly payrolls through Paycom
  • Build and run custom Paycom / HRIS reports
  • Maintain employee data in Paycom HRIS
  • Increase Firm’s knowledge and utilization of Paycom and explore alternatives if needed, to keep the Firm operating ahead of market/competitors
  • Serve as primary benefits POC with brokers and all employees
  • Generate and manage General Ledger reporting through Paycom to provide to Controller
  • Manage Firm’s staff talent management: draft and review job descriptions, staff offer letters, and placement agreements
  • Manage Firm’s staff onboarding workflow, including conducting and scheduling in-person onboarding for all new employees, serving as welcoming presence for new hires
  • Manage onboarding lifecycle through Paycom, John Hancock
  • Manage benefits orientations for all new hires and provide on-going guidance to employees
  • Manage COBRA process, including terminations and age-outs
  • Manage and oversee payroll wires to 401(k) and HSA recordkeeper
  • Create and set up HSA bank accounts for all new employees
  • Monthly audits of HSA, 401k, benefits, etc., for all employees to ensure payroll alignment
  • Create, review, modify, and update personnel policies on Firm intranet
  • Maintain up to date job descriptions in support of Firm’s talent acquisition needs
  • Administer Short-Term Disability and FMLA paperwork
  • Maintain and present trend and HR analytics data to COO for Firm management’s review.
  • Complete and submit Workers Comp claims through carrier
  • Assist accounting with reconciliation
  • Manage and process payroll lifecycle to ensure accurate payrolls
  • Create employee surveys for HR and OPS
  • Compile complex Excel reports with macros and formulae for audits and error review
  • General streamlining of HR Processes and data cleanup on Paycom and iManage
  • Manage and oversee completion of special projects for all departments

ANNUAL PROCESSES

  • Process Affordable Care Act for 1095-C distribution and 1094 to IRS
  • Oversee W-2 and W-2C Generation
  • Non-Discrimination Testing for 401k
  • Cash Balance Plan Funding, including meaningful benefits calculations, with direction from COO
  • Equity profit sharing funding
  • Process and calculate commissions for all associates and counsel attorneys
  • Complete Resource Planning worksheets/Compensation management for all staff working with each department lead
  • Write and define HR Strategy for the following year
  • Review and recommend budget for HR Department
  • Review and recommend budget for potential staff hires
  • Review benefit offerings and negotiate benefit rates each year with Firm’s brokers
  • Compile benefits census report for brokers for benefits renewal “go to market”
  • PCORI Reporting Form 720
  • PBGC Filing
  • Process Form 5500 for Health Benefits, including Schedule A collecting
  • Process Form 5500 for Cash Balance Plan with Firm actuaries
  • Process Form 5500 for both 401(k) plans with Firm actuaries
  • Work with Firm auditors to complete 2x 401(k) audits each year
  • Oversee State Bar Firm Billing
  • Oversee EEO1-C Reporting
  • Manage Staff Performance Evaluations Module on Lattice
  • Census for Dept. of Commerce
  • National ALA Comp + Benefits Survey
  • State ALA Comp + Benefits Survey
  • US Census Reporting
  • Annual Profit-Sharing Payroll Calculation

  • Intermediate to Advanced Excel skills
  • Comfortability with .xlsx, .csv, and .xml file formats
  • Using formulas for efficient workflow; IF Statements, VLOOKUP, SUM, INDEX, etc.
  • Creating and manipulating data/pivot tables across multiple sheets
  • Excel dashboards and macro building are a plus but not required
  • Ability to prioritize time and manage multiple tasks
  • HRIS systems experience required. Paycom experience is preferred, but not required.

DIRECT REPORTS AND RELATIONSHIPS
This position reports directly to the Director of Talent Management & Training. This position has no direct reports.
